Filling out legal templates is often tedious and error-prone. Users needed a better way to navigate blank fields and optional clauses efficiently. My task was to lead the redesign of this process—making it faster, clearer, and more intuitive.

I started by auditing the current flow, reviewing hundreds of user comments, and conducting interviews. The pain points were clear: users felt overwhelmed by unclear processes, repetitive fields, and missing customisation. Competitor research was limited, but it revealed opportunities to innovate. Success metrics included reducing completion time and improving user satisfaction.

Workshops with stakeholders helped prioritise ideas, with field grouping emerging as the best approach. By categorising repeated inputs (e.g. names, dates, addresses) and using visual markers, we aimed to simplify navigation while enabling dynamic auto-saving. A SCAMPER exercise pushed us to refine the solution further.

I created prototypes with playful, physical-style markers to highlight fields and streamlined navigation to bring clarity. Testing with SME and enterprise users validated the approach—both groups completed documents faster and with fewer errors. Their feedback informed final refinements, ensuring the design balanced functionality and personality.

OUTCOME
The redesign reduced completion times by 40% and increased user satisfaction, with many describing the process as “fun.” Beyond efficiency, the new design improved onboarding and strengthened user trust—unexpected but valuable benefits.
This project demonstrated how thoughtful discovery and user-centred design can turn a tedious task into an engaging, impactful experience.
